1. Who we are

DQBinder ("we," "us") provides software that helps motor carriers track expiration dates in driver qualification files. This policy explains what we collect from visitors to this website and from customers who use the service.

2. What we collect

From website visitors

If you fill out the signup form, we receive the information you enter: your name, work email address, company name, fleet size, and phone number if you choose to provide it. If you email us, we keep that correspondence.

This website does not use advertising cookies or third-party tracking pixels.

From customers using DQBinder

• Account information: your name, email address, company name, and login credentials.
• Compliance records: driver names, document types, and expiration or completion dates you enter or send to us so the service can alert you before something lapses.
• Documents: only if you choose to upload them. Uploading files is optional and is never required to use the alerts. We do not ask you to send us driver documents by email.
• Usage information: basic technical records such as log-in times and error logs, used to keep the service working.

The compliance records and documents in your account belong to you. We act as a custodian of that information on your behalf.

3. How we use it

• To provide the service: storing your records, calculating expiration dates, and sending you reminder emails.
• To set up your account and communicate with you about it.
• To respond to your questions and provide support.
• To keep the service secure and to comply with the law.

We do not use your compliance records for advertising, and we do not use them to train machine learning models.

4. What we never do

• We never sell, rent, or trade your information.
• We never share your driver records with insurers, brokers, carriers, marketers, or any other third party for their own purposes.
• We never post your information publicly.

We do use trusted service providers to operate DQBinder — for example, cloud hosting and email delivery. These providers process information only to deliver services to us and are not permitted to use it for their own purposes. We may also disclose information if required by valid legal process.

5. How we protect it

Your information is encrypted in transit and at rest, stored on cloud infrastructure located in the United States, and accessible only to accounts you authorize and to the limited personnel who operate the service. No system can promise perfect security, but we work to keep the amount of information we hold to the minimum the service actually needs.

6. How long we keep it

We keep your account information and records for as long as your account is active. If you close your account, tell us and we will delete your data; otherwise we delete inactive account data within 12 months. Backups are overwritten on a rolling basis.

7. Your choices

• Access and export: ask us and we will send you a copy of your data.
• Correction: you can edit your records in your account, or ask us to fix them.
• Deletion: ask us to delete your account and its contents, and we will.
• Email preferences: reply to any message from us asking to be removed, and we will stop contacting you. Service alerts about your own expiring documents can be turned off in your account.

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act. Email us and we will honor those requests regardless of where you are.

8. Children

DQBinder is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children.

9. Changes to this policy

If we make a material change, we will update the date at the top of this page and notify account holders by email before the change takes effect.
